A short pre-connection checklist
- Canonical contact match: pick one matching rule (email + phone fallback). If the booking tool supplies an external_contact_id, keep it as a primary match key but always try email first to avoid duplicates.
- Provenance fields to add: booking_source (Calendly/Acuity/Bookeo/in‑house), booking_id (external), booking_created_at, booking_status, booking_timezone, booking_payload_hash.
- Normalise times: store booking timestamps in UTC plus a display_timezone field; keep ISO 8601 format for dates so HubSpot, Salesforce or a spreadsheet consumer read them consistently.
This short checklist is enough for a small Fareham business or South Coast service team to decide whether the booking data is ready to be wired into reminders, SLA timers or invoicing automations.
The safe booking record pattern (platform neutral)
1. Ingest as a single, immutable booking object: do not write to contact fields until the booking is validated. Every webhook or CSV row should include booking_id and booking_source so you can dedupe and trace back to the original tool.
2. Idempotent webhook handling: reject duplicates by checking booking_id or booking_payload_hash; acknowledge with 200 only after processing; write a short processing_state flag (queued → processed → failed) so retries don’t retrigger downstream automations. This works for native connectors in HubSpot and Salesforce, middleware (Zapier/Make) and simple spreadsheet consumers.
3. Exceptions and lifecycle: model cancel, reschedule and no‑show as booking_status updates (cancelled, rescheduled, completed, no_show) with timestamps. Never delete the original booking record: mark it and set an exception_reason for automations to detect (e.g. do not send invoice if status is cancelled, pause reminders on reschedule).
One‑day smoke test, monitoring and rollout
Run a one‑day canary plan before switching live automations on: create two canary bookings and two masked dummy bookings (one for a returning contact, one for a new contact). Run the whole flow — contact matching, reminder send, SLA timer start, invoice trigger — and observe whether any duplicate contacts or unexpected reassignments appear.
Add three simple monitoring rules you can check daily in a sheet or CRM list: 1) new booking_count vs new_contact_count (sudden spikes suggest duplicates); 2) booking_status_change_rate (high cancellations/reschedules need review); 3) processing_failures_last_24h. Gate reminders, invoices and handoffs on a trusted_booking flag set by your validation steps so automations act only on vetted records.
