How to standardise campaign naming across ads, email and your CRM in an afternoon

An afternoon-ready playbook to create and enforce consistent campaign names across ads, email and your CRM for small teams.

1. Pick a simple canonical schema (30–45 mins)

  • Decide the minimal tokens you need (channel, campaign, audience, date). Example: `channel_campaign_audience_YYMM` — e.g. `google_summerweb_WFH_2608`.
  • Keep it short, machine-friendly and consistent: lowercase, underscore or dash as separator, no spaces, and a max of ~4 tokens so ad platforms and CRMs don’t truncate values.
  • Make the schema platform-neutral so it works for Google/Meta ad names, email campaign subjects/tags and CRM fields (HubSpot, Salesforce, Marketo, Pardot). Agree a single canonical field name in your CRM: e.g. `utm_campaign_canonical`.

2. Map tokens, build templates and backfill (60–90 mins)

Map the platform tokens to your canonical schema in a single spreadsheet: columns for platform token, canonical token, sample value, and example UTM. Use this sheet as the template for teams creating campaigns and for any integrations.

Backfill recent history in two passes—quick reconcile then safer merge. Quick pass: export last 3 months from Google Ads, Meta, your email provider and CRM, normalise values in the spreadsheet and import updates for the CRM field. Safer pass: re-run the same process for the previous 6–12 months if you need longer-term attribution. Low-code examples: add columns CampaignNamePlatform, CanonicalCampaign, Notes; create a simple Zapier/Make rule that maps UTM parameters to the `utm_campaign_canonical` CRM property when a contact or lead is created.

3. Add validation, monitoring and governance (30–45 mins)

Validation: add one CRM validation property or rule that flags mismatches (e.g. `campaign_name_valid` boolean) and a short workflow that notifies the owner if the canonical field is empty or fails a regex. Monitoring: a one-sheet dashboard showing recent campaign names and a weekly sample check to catch drift. You can implement the validation in HubSpot, Salesforce or via a scheduled Make/ Zapier check that writes flags back to the CRM.
